Managing your subscription
You can view and change your subscription, add team seats, and update your billing details from your account settings, accessed via the top-right menu by clicking on your avatar image.
View and upgrade your subscription
Under 'Plan and pricing', you'll be shown your current subscription plan, price, and billing frequency, along with any options to switch plans.
Add team members
If you have colleagues working on your AI, you can give them their own login to your Coachvox account by adding team seats.
Each person on a team seat signs in with their own email address and password, so you never need to share yours. A small monthly charge will be added to your subscription, with the first one being calculated pro rata for the rest of your current billing period.
How to add a team member
To add a team member, under the 'Team seats' section:
- Click 'Add a seat'.
- Enter the email address of the person you would like to invite.
- Choose whether they have read-only or edit access.
- Click 'Add seat and send invite'.
They will receive an email inviting them to set up their own login.
Note: A team seat cannot use an email address that already has a Coachvox login (password). This may be the case if someone has already used the email to:
- Sign up for their own Coachvox subscription.
- Pay for access to a Coachvox AI or a Coachcart product.
- Save and access their chat history with a Coachvox AI.
If the email address is already in use, try an alias. Many email providers, including Gmail and Outlook.com, let you simply add a plus sign and a word before the @ symbol to make a functioning alias email - for example, name+team@gmail.com instead of name@gmail.com.
Access levels
- Read-only access lets a team member view your AI's settings and content without changing anything. Fields are locked, so nothing can be edited by accident. Team members with read-only access can’t connect Coachvox to Claude, ChatGPT or other AI tools using our connector, as this would allow them to edit and delete training data.
- Edit access lets a team member make changes to your AI, such as updating its settings and training data.
A team seat applies to your whole Coachvox subscription. If you have two AIs on your plan, your team member will be able to access both of them.
As well as working on your AI, team members with a seat can:
- Connect Coachvox to their own Claude or ChatGPT account using our connector. (Team members with 'edit' access)
- Connect Coachvox to their own Zapier account.
- View Coachcart, if it is part of your plan.
Remove a team member
You can remove a team member or change their access level at any time from your account settings.
Update your payment details
You can access your Stripe customer portal from your account settings.
- Click on the 'Access portal' button under 'Payment settings'.
- Enter your email address to receive an access link (use the email you signed up with)
- Click the link in your email to open the billing portal
In the billing portal, you can change your payment card and your billing name and address.
Failed payments
If your payment fails, you'll receive an automatic email from Stripe, then Stripe will try to take the payment again several times over the coming days.
If you need to update your payment method, just log in and do this when prompted or via the billing portal.
Download invoices
Within your billing portal, you can also view and download past invoices.
