Uploading content in knowledge upload

In the knowledge upload section of Coachvox, you can train your AI on your unique knowledge and expertise by uploading documents, copying in text, or providing web page URLs.

The system will turn the text into prompts and completions (question/statement and answer pairs) that make up your AI's core training data.

Remember: You only have to do this once. Once your AI has your knowledge, most of the work is done, ready for your AI to take it from here!

Uploading documents

Preparation

Before you start uploading files, check out our guidance on how to prepare your documents for the best results.

File types you can upload

You can upload the following file types:

  • PDF (.pdf)
  • Word documents (.docx)
  • Text files (.txt)

Notes on other file types:

  • Wanting to upload other file types, such as Google Docs? No problem, nearly all programs allow you to download or export files in different formats, so just export it as one of the above.
  • Using a text file in the older format of .doc? Simply open and resave this as a .docx file first.
  • Looking to upload a CSV file of prepared prompts and completions? Great - add this directly in the training data overview room instead.

File sizes

  • Up to 100,000 characters per file - If your document is longer, split it into sections or chapters. This also makes it easier to review the training data created.
  • Max file size is 25MB - If your document is larger than this, which is often due to images, try copying sections of the text only.

We recommend starting with smaller files and checking the prompts and completions generated before uploading more content.

How to upload files

  1. Head to knowledge upload and click 'choose file' or drag and drop a file in the upload box.

  1. A content details window will appear.
  • Choose the content type from the drop-down menu - This helps the system understand the probable format and style of the document you're uploading. There isn't a huge difference between some options, but it helps to pick the closest one.
  • Add a unique source name - This will help you track where your content came from.

Top tip: Give each file a specific and consistent source name. Use names like "LinkedIn profile Feb 2024" or "Marketing blog post - AI tips - DDMMYYYY" instead of "Article 1". Your future self will thank you for this!

  1. Click 'Upload'

Your file will now be processed. This usually is a matter of seconds, but it can take several minutes for long documents.

Note: You can continue uploading documents while others are processing.

Adding text content

Instead of uploading documents, you can copy and paste in text.

This method can be great for adding text from social media posts or specific sections of copy from a web page.

Text length

  • As with documents, each text item can have up to 100,000 characters.

How to add text content

  1. Head to knowledge upload and click the 'Add text content' box.

  • Copy and paste your text into the box.
  • Give your content a unique and specific source name.
  • Click 'Upload'

Adding a web page URL

There's also the option to add the URLs of web pages containing relevant information.

The system will then extract the main text from the page, skipping menus and ads where possible.

Requirements:

  • Content must be yours (or you must have permission to use it)
  • This method won't work for gated or password-protected content.
  • File links (e.g. Google Drive) or video links (e.g. YouTube) cannot be read.

How to add web content

  1. Head to knowledge upload and click the 'Add web content' box

  • Paste in your web page URL
  • Click 'Upload'

Checking your data

Once you've added a document, text or web page, you can check the prompts and completions generated.

Click the 'view' button by each source and you will be navigated to training data and shown the relevant prompts and completions.

Your AI needs enough training data to be helpful, but quality matters more than quantity.

There isn't a set amount of training data - it depends on your AI's use case, but here are some guidelines:

  • For coaches: If you mainly ask questions and guide clients to find their own answers, you need less specific training data. Focus on teaching your AI your coaching approach and questioning style.
  • For mentors or consultants: If you give direct advice and share specific knowledge, you'll need more detailed training data. Make sure your AI understands your expertise in each area you cover.
  • Start with 500 prompt and completion pairs for good coverage of your expertise. Aim for up to 3,000 pairs if you have multiple areas of expertise. Keep it under 5,000 pairs unless you have very specific requirements.

Important: Think about your target audience's specific needs rather than uploading everything you've ever created. Focus on quality over quantity.
